FAIR USE POLICY
MMD PRO assumes a level of marketing activity broadly consistent with the venue’s operational structure, business units and historical marketing requirements at the commencement of the agreement.
There are no fixed campaign limits, artwork limits or hourly allocations under MMD PRO. However, the service is intended to support ongoing marketing requirements rather than major one-off projects, redevelopments or significant business expansions.
Where marketing requirements materially increase beyond normal operating levels, MMD reserves the right to review the monthly partnership fee in consultation with the client.
Examples may include:
Addition of new venues, outlets or business units
Major redevelopments or venue expansions
Significant increases in campaign volume
New venue launches or rebrands
Large-scale signage or environmental graphics programs
Major photography, videography or content production projects
MMD PRO is based on the principle of reasonable and collaborative use of the service.
MMD PRO partnerships are reviewed annually to ensure the service remains aligned with the venue’s operational requirements and marketing objectives.

MMD ACTIVATE is designed for venues requiring a set number of fully managed marketing campaigns each year.
All MMD ACTIVATE clients have a set number of campaigns included in their annual agreement.
Your annual campaign allocation is outlined within your proposal and is typically used for promotions, events, entertainment, dining activations, membership campaigns or other key marketing initiatives throughout the year.
WHAT IS A CAMPAIGN?
A campaign is a complete end-to-end marketing activation centred around a single promotion, event or initiative, rolled out across multiple platforms.
Each campaign includes:
Campaign planning and activation
Poster or flyer design
Social media tile design
Digital resizes
Website updates to your What’s On page and one additional relevant page
Set up of META Ad within your agreed monthly ads budget
Facebook Event creation (where applicable)
Google Business Profile updates (where applicable)
Campaign deactivation once the promotion or event has concluded
Inclusion within your annual marketing planner, including automated reminders to assist with planning and approvals
Examples of campaigns may include:
Mother’s Day
Melbourne Cup
Seafood Raffle Launch
School Holiday Promotion
Christmas in July
Major Sporting Events
CAMPAIGN ALLOCATIONS
Campaign allocations apply across a rolling 12-month agreement period.
Additional campaigns requested beyond the annual allocation included in your agreement will be billed at $650 per campaign.
GRAPHIC DESIGN INCLUSIONS
Each campaign includes design development plus up to eight (8) artwork resizes for use across your venue’s platforms and for the roll out of your campaign across multiple platforms.
If AD-HOC hours are part of your agreement, your allocated weekly hours can be used for smaller, one-off design tasks that do not require multi-platform activation.
This typically includes items such as bar-top signs, quick menu tweaks, single-screen assets, or simple one-off print files.
GRAPHIC DESIGN EXCLUSIONS
The following design items fall outside your retainer and are billed separately:
Multi-Page Documents - (Not included in ACTIVATE retainers)
New Menu Designs – $650
Function Packs – $650
Annual Reports – $1,200
Other multi-page or complex design projects can be quoted at any time.
Signage Design & Production
Signage of any kind is not included in MMD ACTIVATE retainers and is always billed separately.
This includes, but is not limited to:
Internal or external venue signage
(digital TV screen artwork is included - just not physical signage)
Directional or safety signage
Vehicle, bus or equipment wraps
Large-scale wall, window or environmental graphics
All signage projects include time for design layout, artwork setup, and up to two mock-ups for client approval. Additional versions or revisions will attract standard hourly design rates.
POST LAUNCH CHANGES
If changes are requested after the campaign has been launched across your venue’s platforms, a $400 re-activation fee will apply. This covers the redesign, re-exporting and re-uploading of all updated artwork across every platform and size.
WORKING TOGETHER - APPROVALS & DELIVERY - ALL CLIENTS
BRIEFING
To ensure quick, accurate turnaround:
All design requests must be submitted via your venue’s Marketing Quick Links Portal using the Artwork Request Form.
Standard turnaround time for first draft artwork is 5 business days.
If you require something sooner, please email the team after submitting your request - we’ll always do our best to help with urgent needs where possible.
COMMUNICATION & WORKFLOW
To ensure requests are actioned quickly and visible to the entire MMD team, we ask that clients use the appropriate communication channels wherever possible.
Artwork Requests - New artwork requests should be submitted via the Artwork Request Form within your Marketing Quick Links Portal. This automatically creates a task within our project management system and ensures the request is assigned to the appropriate team member instantly. The request form can also be accessed via our email signature.
Artwork Feedback - Feedback, revisions and approval comments should be submitted directly within Wrike using the approval link provided. This keeps all feedback attached to the relevant design file and reduces the risk of missed instructions or duplicated work.
General Marketing Requests - General marketing discussions, planning requests and operational matters should be sent via email rather than SMS wherever possible. Email communication ensures requests are visible to the broader MMD team and allows work to continue seamlessly if individual team members are unavailable.
Venue photos - Photos should be uploaded via your Marketing Quick Links Portal or submitted using the Asset Upload QR Code provided by MMD. This QR code also appears on our email signature. Sending large files via text message, email attachments or individual links can result in files being overlooked, duplicated or difficult to locate at a later date.
Working Together - While we understand there will always be exceptions, following the workflow above helps us respond faster, maintain accurate records and deliver a more efficient service for your venue.
REVISION ROUNDS
All graphics are designed in line with your venue’s approved Brand Style Guide to ensure a consistent and professional look and feel.
Each design project includes two (2) rounds of revisions, submitted via our online approval system Wrike.
To help us hit the mark from the start, we encourage detailed, consolidated briefings that clearly outline your expectations, text, imagery, and creative direction.
PROOFING & SIGN-OFF
Before a campaign goes live, all artwork, copy and campaign details must be checked and signed off within Wrike, using the approval link provided.
Once approved, our team will activate the campaign across the relevant platforms (website, socials, eDM, in-venue screens, etc.).
SOCIAL MEDIA MANAGEMENT
MMD manages your venue’s social media content, scheduling and advertising activity as outlined within your agreement.
Social media management includes:
Content creation and publishing
Campaign promotion
Social media advertising
Basic account maintenance and monitoring
Unless otherwise agreed, social media management does not include:
Community management or responding to comments and messages on behalf of the venue
Influencer management
Content moderation outside normal business hours
Creation or management of additional social media accounts not included within the original agreement
Whilst we check in regularly and endeavour to highlight any required actions, the venue remains responsible for monitoring social media inboxes and responding to customer enquiries, bookings, complaints and operational matters. Social media content requests should be submitted via your venue specific email address or discussed during scheduled planning meetings wherever possible.
PHOTOGRAPHY & CONTENT CREATION
Photography sessions are included within your agreement as outlined in your proposal. Most venues receive either two (2) or four (4) photography sessions per year, with each session allocated a set number of hours.
To ensure the best possible results, MMD will provide a photography run sheet prior to each shoot outlining the required shots, locations, products, staff and content opportunities.
The venue is responsible for ensuring all relevant staff, products, menu items, spaces and promotional materials are prepared and available at the scheduled shoot time. Time spent waiting for items, locations or personnel may reduce the amount of content captured during the allocated session.
Where possible, a second MMD team member will attend the shoot to assist with styling, act as a hand model and capture supplementary video content for use across social media, reels and digital marketing platforms.
While not essential, we strongly encourage venues to arrange additional staff, members or patrons to participate in shoots where appropriate. Having additional people available often results in more engaging, authentic and versatile content.
Additional photography sessions outside your annual allocation can be arranged and quoted at any time.
PAYMENT TERMS
Retainers are invoiced in advance and payable in accordance with agreed trading terms. MMD reserves the right to suspend services where accounts remain overdue.
THIRD PARTY COSTS
Printing, advertising spend, media placement, stock photography, premium fonts, software subscriptions and external supplier costs are not included unless specifically stated.
INTELLECTUAL PROPERTY
Upon payment of all invoices, final approved artwork created by MMD becomes the property of the client. MMD retains the right to display completed work within its portfolio and marketing materials unless otherwise agreed.
LIMITATION OF LIABILITY
While every effort is made to ensure accuracy, the client remains responsible for reviewing and approving all artwork, copy, pricing, dates and promotional information prior to publication, printing or distribution.
